Assist the sales/service staff and outside insurance agents. Process and maintain contracts, new & renewal documentation, monthly & ad-hoc reporting, auditing, detailed claimant research as well as other duties as assigned for the Springfield and regional offices. Ensure complete and accurate information to all internal and external customers.



  1. Perform administrative assistant duties for the Sales/Service staff. Answer multi-line phones in a prompt, professional, and courteous manner, providing accurate and consistent information. Assist callers and take messages when the staff is unavailable. assist walk-in clients, distribute faxes, and maintain Sales queue.
  2. Provide internal support to the Sales/Service staff when they are out of the office for multiple days delegating or completing work that cannot wait until they return to the office.
  3. Assist outside agents with inquiries regarding policies, procedures, plans, creating requests for proposals, provider directories, census reports, and other needs within knowledge expertise. Determine laws, policies, and codes that apply to ensure legal compliance and accurate information relayed. Research and resolve member, agent and group inquiries, following up within 24 hours.
  4. Review group quote requests, group applications, and member applications and obtain missing information prior to sending to the Group Processing Specialists.
  5. Generate letters, memos, reports, and other documents. Ensure consistency, grammar, spelling, accuracy, and style.
  6. Review monthly/annual experience reports and distribute as needed.
  7. Enter and maintain all pertinent group information into CRM including all RFP and renewal information
  8. Prepare group supplies for clients and document online. Assemble new/renewal group packets, enrollment materials, and supplies as requested. Maintain inventory supplies, using established inventory levels, anticipated needs, and supplies lists.
  9. Audit Summary Plan Descriptions, Benefit Booklets, Summary of Benefits Coverage, Summary of Benefits, Administrative Service Agreements, Benefit Detail Forms, Sales Checklists and other new and renewing documentation as needed.
  10. Assist assigned agents and their staff with RFP’s and group enrollment materials.
  11. Maintain positive working relationships with groups, agents, and coworkers. Interact with public including agents, group administrators/employers, subscribers, and others.
  12. In regional offices provide primary one to one assistance to members, the general public, small employers groups, agents/brokers and internal staff.
  13. In regional offices provide one to one primary support for all groups, which would include associated broker’s questions, direction and assistance.
  14. In regional offices act as the primary resource for plan design comparisons, changes and options, scenario modeling, facilitation of eligibility questions regarding state exchange and referral of tax and legal questions to a trusted partner/vendor.
  15. In regional offices act as the primary point for direct sales/services of individual polices both inside and outside the exchange.
  16. In regional offices act as the primary receptionist for incoming calls and walk-in members and/or agents.


Supporting Responsibilities:

  1. Meet department and company performance and attendance expectations.
  2. Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  3. Copy, fax, file, and deliver supplies as needed.
  4. Complete special projects, assist with community events, and perform other duties as assigned.
  5. Provide backup for staff as necessary.



Work Experience: Two years of administrative experience.  Experience in group health insurance or healthcare-related business preferred.


Education, Certificates, Licenses: High school diploma or equivalent required. 


Knowledge: General office skills including typing, filing, copying, faxing, 10-key. Computer skills in Microsoft Windows based software. Ability to gain knowledge of state and federal laws affecting group health insurance and agents. Ability to gain knowledge of PacificSource products, contracts, and workflow. Excellent written and verbal communication. Remain current on PacificSource procedures, policies, and products. Thorough understanding of ACA and PacificSource plan options.

Environment: Work inside in a general office setting with ergonomically configured equipment.


Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions.  Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
