  • Overview

    Primary duties include reviewing multi-state payroll on a bi-weekly basis for accuracy and compliance with policies.  Reconciles all bi-weekly payroll deductions, including 401(k) activity. Prepare monthly journal entries and perform monthly account reconciliations for payroll related accounts.  Prepare quarterly payroll tax filings for federal and multiple states.  Prepare annual W2 reports.  Must have knowledge of relevant state and federal laws.  Time-keeping administrator experience required.  Must have ability to handle confidential material in a professional manner and interact and communicate with individuals at all levels of the organization. 

    Responsibilities

    1. Review multi-state payroll on a bi-weekly basis for over 1,000 employees.
    2. Reconcile and submit all payroll deductions on a bi-weekly basis, including 401k activity.
    3. Prepare monthly journal entries and account reconciliations for payroll related accounts.
    4. Calculate monthly internal commission payments due.
    5. Backup payroll processing as needed.
    6. Prepare quarterly payroll tax filings for federal and multiple states.
    7. Reconcile W-2 information and prepare annual W-2 reports for all employees.
    8. Work with Human Resources department to set up new departments, maintain Kronos time and attendance system and other reporting as necessary.
    9. Assist with annual retirement plan and workers compensation audits.
    10. Prepare annual Health/Disability/FSA 5500 filings.
    11. Prepare various payroll reports.
    12. Stay abreast of wage and hour regulations. Determine impact of new regulations and assist with incorporating new regulations into payroll policies, procedures and systems where appropriate.
    13. Investigate payroll requirements in new states as the company expands and make recommendations for how to comply with these regulations.

    Supporting Responsibilities:

    1. Perform other accounting duties as assigned.
    2. Meet department and company performance and attendance expectations.
    3. Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.

    Qualifications

    Work Experience: At least three years of prior accounting experience performing similar duties and one year of experience in a multi-state payroll environment is required.  System conversion experience a plus.

     

    Education, Certificates, Licenses: Associates degree in Finance or related field, or equivalent combination of education and experience required.  Certified Payroll Professional designation a plus.

     

    Knowledge: A comprehensive understanding of accounting and business practices. Systems analysis and documentation skills.  Excellent computer and communication skills. Experience with payroll processing and familiarity with payroll tax filing requirements.

    Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 2% of the time.

     

    Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions.  Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
